Tour Cost    [Back To Top]
Tour cost quoted is per person, for the occupancy indicated, and is based on the minimum number of paying passengers stated in the "Comments" portion of the Tour Proposal. Should final passenger count fall below the specified minimum number of paying passengers, Short Hills Tours reserves the right to impose a fair surcharge. All prices quoted are based on approved tariffs at the time of submitting the proposal to the group. No revisions of the prices are anticipated, however, Short Hills Tours reserves the right to make any necessary changes in price due to unforeseen increases imposed by suppliers (i.e. fuel surcharges, etc.), at or before the time of final payment. Tour cost includes all items listed as being included on the Tour Proposal. NOT INCLUDED are items of personal nature such as additional food and beverages, room services, optional activities and any other items not listed as being included.


Transportation    [Back To Top]
Motorcoach transportation provided by Short Hills Tours is based on deluxe, private, air-conditioned motorcoaches with rest room, VCR/DVD player, reclining seats and public address system. Maximum capacity of most motorcoaches is 47/49 passengers. Oversized coaches (54/55 seats) are available in some areas on a limited basis. A current Certificate of Insurance is required of all motorcoach companies providing transportation to Short Hills Tours groups. Schools can be listed as an "Additional Insured" on the motorcoach company's insurance policy at no additional cost to the school. Requests can be handled through Short Hills Tours and must be received at least 60 days prior to the departure date.


Accommodations    [Back To Top]
Accommodations are in first class or deluxe hotels. The actual hotel will be confirmed upon official acceptance of proposal. All hotels used will have indoor-accessed rooms and all will feature modern fire/smoke detecting equipment. Quad, triple and twin rooms are sold with the understanding that rooms will have two beds. Rollaway beds are available, with prior notice, at an additional charge. In some instances, students and chaperones may be accommodated in king-bedded rooms, at the discretion of the hotel.


Chaperones    [Back To Top]
Chaperones will be extended complimentary travel on the basis specified on the Tour Proposal. All complimentary chaperones are based on twin, triple or quad occupancy. Chaperones requesting single occupancy will be accommodated on a space available basis at an additional cost.


Documentation for Travel to Canada    [Back To Top]
Proper identification and proof of citizenship is required of all passengers, regardless of age. NO EXCEPTIONS! Acceptable forms of documentation for US citizens entering Canada include a valid or expired passport or an original birth certificate accompanied by government-issued photo identification (driver's license or student ID card). If the birth certificate is not original, the copy must be certified with a raised seal to be considered valid. Driver's licenses (by themselves), voter's registration cards and Social Security cards are not valid proof of US citizenship and will not be accepted! Should any passenger participating in the trip not be a US citizen, it is strongly recommended that they contact the offices of the Consulate General of Canada in New York at (212) 596-1600 for additional requirements. Any passenger encountering difficulty in locating their birth certificate can obtain assistance at www.vitalchek.com. This is a fee-based service and has no relation to Short Hills Tours.


Documentation for Travel Abroad    [Back To Top]
Valid documentation is required of all passengers traveling abroad. To leave or re-enter the United States, all citizens must furnish proof of citizenship such as passport, birth certificate (with raised seal) or naturalization papers. FOR NON-U.S. CITIZENS, it is the passenger's responsibility to provide proper documentation. Short Hills Tours assumes no responsibility, financial or otherwise, for any passenger failing to provide such documentation.


Baggage    [Back To Top]
Students and chaperones are responsible for transporting luggage to and from their hotel rooms, in most cases. Groups requesting luggage handling can be accommodated at an additional cost. Such services may be mandatory at certain hotels to comply with union regulations. This will be so noted to the group at the time of booking.

Booking Policy    [Back To Top]
Upon acceptance of the proposal, the group will be forwarded a Group Agreement and invoice for the initial deposit. The receipt of the signed Group Agreement and initial deposit of $500.00 will be required in order for Short Hills Tours to begin securing reservations on behalf of the group.


Payments    [Back To Top]
A schedule of payment installments will be noted on the Group Agreement. These monies will be used to satisfy the deposit requirements set by the various suppliers. Final payment is due to Short Hills Tours at least 30 days prior to departure on 1-day tours and 45 days prior to departure on multi-day tours. Any exceptions to this policy will also be noted on the Group Agreement. Payment should be in the form of a check or money order made payable to "Short Hills Tours." One check should be forwarded on behalf of the entire group. Individual checks from students will NOT be accepted. Receipt of a Purchase Order is not considered receipt of payment.


Returned Checks     [Back To Top]
A fee of $25.00 will be assessed for any check returned to Short Hills Tours by our bank due to non-payment.


Special Activities    [Back To Top]
Special arrangements for activities such as concerts, theater performances sporting events or cruises may require additional deposit amounts or full payment at the time of confirmation. Such circumstances will be noted to the group at the time of booking and monies will become due immediately upon notification. Failure to forward amount due may result in the cancellation of the reservations by supplier.


Lead Chaperone Workbook    [Back To Top]
Upon receipt of the initial deposit, the group leader will receive a Short Hills Tours Lead Chaperone Workbook. This helpful file contains information to assist in the administration of the program such as blank rooming lists, luggage tags, hotel directory with address and phone number that can be reproduced and distributed to parents, and "Travel Tips" which includes suggestions on preparing students and chaperones for their trip.

Completed rooming lists must be received by Short Hills Tours at least 60 days prior to departure on multi-day tours and should be forwarded on the sheets provided or via e-file (word or excel).


Cancellation    [Back To Top]
Cancellation Policies/Multi-Day Tours -
Groups:
• Group Cancellations received 60 or more days prior to departure will be entitled to a refund of all monies paid to Short Hills Tours, UNLESS otherwise noted on the Group Agreement.

• Group Cancellations received 59 - 30 days prior to departure will be subject to a cancellation penalty of $500.00, plus any non-recoverable charges imposed by suppliers.

• NO REFUNDS will be given to Group Cancellations received less than 30 days prior to departure.

Individuals:
• Individual cancellations received 45-30 days prior to departure will receive a full refund less a cancellation fee of $50.00 per person and any non-recoverable charges imposed by suppliers. When an individual leaves or cancels a tour and a roommate(s) remains, the additional supplement for the remaining individual(s) will be deducted from the refund of the person that left.

• No refunds will be given for individual cancellations received within 30 days of departure.

Cancellation Policies/1-Day Tours -
Groups:
• Group Cancellations received 60 or more days prior to departure will be entitled to a refund of all monies paid to Short Hills Tours, UNLESS otherwise noted on the Group Agreement.

• Group Cancellations received 59 - 30 days prior to departure will be subject to a cancellation penalty of $250.00, plus any non-recoverable charges imposed by suppliers.

• NO REFUNDS will be given to Group Cancellations received less than 30 days prior to departure.

Individuals:
• Individual cancellations received 45-30 days prior to departure will receive a full refund less a cancellation fee of $25.00 per person and any non-recoverable charges imposed by suppliers.

• No refunds will be given for individual cancellations received within 30 days of departure.

We regret that we are unable to make exceptions to these policies and strongly recommend trip cancellation/interruption insurance.


Cancellation/Interruption Insurance    [Back To Top]
Short Hills Tours strongly recommends Trip Cancellation/Trip Interruption Insurance and is pleased to make this option available to our passengers through the Berkley Insurance Company. The policy offers travelers a full refund in the event they cannot travel due to illness or injury to themselves, or immediate family member. The policy also provides coverage for medical expenses while on tour, baggage protection and 24-hour emergency assistance. Contact Short Hills Tours for additional information.

Short Hills Tours, and it's employees, act only as agents for the various hotel, transportation, sightseeing and restaurant companies whose services are made available and accept no responsibility, in whole or in part, for any personal injury liability, personal liability, physical damage, loss, accident, delay, or irregularity which may occur by default of any company rendering any of the services included. No responsibility is accepted for any damage or delay due to illness, pilferage, labor dispute, machinery failure, quarantine, governmental restraints, weather/natural forces, or other causes beyond their personal control. Short Hills Tours also disclaims any responsibility for personal injury liability, personal liability and/or physical damage arising from acts of negligence of any member of a group participating in a Short Hills Tours program. Short Hills Tours reserves the right to decline to accept or retain any person as a member of a tour at any time for any reason before or during that actual tour. Short Hills Tours reserves the right to change any arrangement set forth should conditions necessitate offering substitutes of equal value or to cancel operation of any tour and its sole responsibility shall be the refund of monies paid. Short Hills Tours reserves the right to cancel any trip with its sole obligation being to refund all monies received by it for the trip.


Governing Law    [Back To Top]
The sole and exclusive forum for any legal action by a tour participant, or parent/guardian of, against Short Hills Tours arising from or relating to a tour, to these terms and conditions, including, without limitation, the Disclaimer of Liability, or to the brochures and website and any other information relating in any way to the tour shall be a court of competent jurisdiction in Essex County, New Jersey or the United States District Court for the District of New Jersey. These terms and conditions shall be governed and interpreted solely and exclusively by the substantive law of the State of New Jersey.
